What is a TMS, and when does a delivery operation need one?

A transport management system (TMS) is the software that coordinates moving goods: which orders travel on which vehicles, in what sequence, driven by whom, and what happened to each of them. If that sounds broad, it is; the useful way to understand a TMS is by what it replaces.

What a TMS replaces

Most delivery operations grow into the same stack without choosing it: an inbox where orders arrive, a spreadsheet where someone builds routes, a group chat where execution is coordinated, and a drawer where paper proof accumulates. Each piece works. The system as a whole leaks.

The leak is reconciliation. Someone spends part of every day matching what was planned against what happened: chasing missing proof, rebuilding yesterday’s routes from messages, explaining to a customer what the spreadsheet cannot show. That work produces nothing; it only recovers information the operation already had and lost between tools.

A TMS replaces the stack with one record per order that survives the whole cycle: received, planned, dispatched, delivered, proven.

The signs you need one

Company size is a poor signal; operations with three vans can drown in coordination while larger ones coast on simple, repetitive routes. Better signals:

  • Daily reconciliation work exists. If matching plan to reality is someone’s routine, the tools are leaking.
  • Proof is slow. If answering “was this delivered, and who signed?” takes more than a minute, disputes and invoicing are paying the cost.
  • Knowledge lives in one person. If routes depend on what one planner holds in their head, every holiday is an operational risk.
  • Customers ask you for status. If “where is my order?” arrives by phone, visibility is missing at both ends.

Planning compresses from hours to minutes because route optimisation computes what was previously assembled by hand. Execution becomes visible because live tracking replaces the call to the driver. And the operation becomes auditable, because every stop ends with electronic proof of delivery on the order record.
